Month-end close checklist for private schools

A repeatable close is what lets a small business office hand the board, the auditor, and the head of school numbers they can trust. This checklist is written for private and independent K-12 schools, where revenue arrives from several systems at once and the school year does not line up with the calendar.

Before you start

Agree on a cutoff date and a target finish date, and write them down. A close that has no end date expands to fill the month.

Collect what you need up front: bank and credit card statements for every account, reports from your tuition management system, payment processor and school store reports, payroll registers, and the current trial balance from your accounting system.

The checklist

  1. Confirm cutoff and prior-period status. Make sure the prior month is locked or at least reviewed so opening balances do not move underneath you.
  2. Reconcile every bank and credit card account. Operating, payroll, savings, and each card. Clear or explain every reconciling item older than a month.
  3. Reconcile tuition to your tuition management system. Compare billed and collected tuition in FACTS, Blackbaud, or similar to the tuition revenue and receivable accounts in the general ledger. Explain timing differences, fees, refunds, and returned payments.
  4. Clear payment processor accounts. For Stripe, PayPal, Square, or Shopify, tie gross sales, fees, refunds, and net payouts to the bank deposits that actually landed.
  5. Review donations and restricted funds. Confirm gifts are coded to the right fund, restrictions are tracked, and amounts released from restriction this month are recorded.
  6. Roll forward deferred tuition. Tuition billed ahead of the school year is typically recognized over the months it covers. Confirm this month’s recognition entry was posted and the deferred balance makes sense.
  7. Amortize prepaid expenses. Insurance, software, and other prepaid items should have a schedule and a current-month entry.
  8. Record accruals. Unbilled utilities, vendor invoices received after month-end, accrued payroll and benefits, and anything else that belongs to the period.
  9. Review the trial balance. Compare each account to last month and to budget. Investigate large swings and balances that should be zero.
  10. Preparer sign-off, then reviewer approval. The person who did the work signs off first; a second person reviews and approves.
  11. Lock the period and file the support. Save reconciliations, statements, and review notes where the auditor can find them, and prevent further edits to the closed month.
